Position Summary

The Executive Assistant to the Office of the CEO provides high-level administrative, operational, and strategic support to the CEO and the Chief of Staff. This role is far more than traditional administrative support: the ideal candidate anticipates needs before they are voiced, exercises sound and independent judgment on behalf of the CEO, and manages a wide range of complex, confidential, and time-sensitive matters. Success in this role requires the ability to operate a step ahead - spotting what's coming, closing gaps before they become problems, and tactfully keeping a fast-moving, laid-back executive on track without ever feeling heavy-handed.

Key Responsibilities

Executive & Strategic Support

Serve as a trusted extension of the CEO and Chief of Staff, exercising discretion and independent judgment on priorities, timing, and follow-through. Anticipate the CEO's needs proactively; flag upcoming decisions, deadlines, and conflicts before they are raised, and come prepared with options rather than just problems. Tactfully and diplomatically prompt the CEO to complete time-sensitive actions, calibrating the degree of persistence to the moment; know when to push and when to step back. Partner closely with the Chief of Staff to prepare the CEO for meetings, board interactions, investor engagements, and external events, including briefing materials and talking points. Track commitments, action items, and follow-ups across the CEO's priorities, ensuring nothing falls through the cracks Calendar, Travel & Administrative Management

Manage a complex, frequently changing calendar, proactively resolving conflicts and prioritizing time against the CEO's most important commitments. Coordinate detailed domestic and international travel itineraries, adjusting quickly as plans shift. Prepare, edit, and proofread correspondence, presentations, and internal/external communications on behalf of the CEO. Process expense reports, invoices, and other administrative requirements accurately and on time. Organize and maintain files, records, and information systems supporting the Office of the CEO. Stakeholder & Relationship Management

Serve as a professional, polished first point of contact for executives, board members, investors, government officials, customers, and other senior external stakeholders. Read the room and navigate organizational and external politics with tact, judgment, and emotional intelligence. Build trusted relationships across the executive team, board, and external partners, representing the CEO's office with professionalism at all times. Coordinate seamlessly with other executive assistants, the Chief of Staff, executives and business unit leaders to align schedules and priorities. Confidentiality, Trust & Judgment

Handle highly sensitive, confidential, and proprietary information, including board, personnel, financial, and strategic matters, with absolute discretion. Earn and maintain a high level of trust through consistent sound judgment, reliability, and integrity. Recognize when to escalate, when to act independently, and when to loop in the Chief of Staff or CEO. Qualifications

Required:

7+ years of experience supporting C-suite executives, ideally in a publicly traded, high-growth, or government-facing organization. Demonstrated ability to exercise independent judgment and discretion with highly confidential information. Strong technology fluency, including standard enterprise productivity software (e.g., email, calendar, document, presentation, spreadsheet, and collaboration tools) and comfort learning new tools and systems quickly. Exceptional written and verbal communication skills, with strong attention to detail. Proven ability to manage competing priorities in a fast-paced, dynamic environment. Sharp political and interpersonal acumen; skilled at reading dynamics and adjusting approach accordingly. Comfortable diplomatically pushing a senior executive while preserving trust and the relationship. Preferred:

Prior experience supporting an Office of the CEO or similar multi-person executive support structure. Experience in relevant technology, software, or government contracting sectors. Bachelor's degree or equivalent professional experience. Core Attributes:
