Resume not parsing correctly? Check the file and the form

If your resume is not parsing correctly, check two things separately: the file you uploaded and the fields the application filled from it. A readable attachment can still produce a wrong date or a missing job title. Correct the form before you submit.
Check whether the document contains real text.
Open the exact file you uploaded, select a sentence, and paste it into a plain-text editor. If the sentence cannot be selected or nothing appears, you may have an image-based document. Export a fresh text-based copy from the original editor instead of uploading a screenshot.
This quick check is diagnostic, not a certification. A document with selectable text can still have a reading order or field-mapping problem. Continue with the imported form even when the copy-and-paste test looks fine.
Remove layout obstacles before rewriting your history.
Greenhouse documents parsing problems with columns, tables, graphics, headers, footers and text boxes. Its recruiting parser also has a 2.5 MB limit. These are product-specific limits, not a universal rule for every employer's upload form.
Try a simpler export with a clear reading order. Keep your name and contact information in the main document body. Use recognizable section labels. Do not rewrite accurate dates or job titles just to make a failed import look complete.
Find where the first incorrect field begins.
Read the filled application from top to bottom. Check the first row where the information stops matching your resume, then inspect every later row. One misplaced heading or date can make the remaining form look more complete than it is.
For each role, pair the employer with its title, start date, end date and description. For education, verify the school, qualification and completion status together. A list of plausible values is not enough if they belong to different entries.
- Name, email and phone: can the employer reach you?
- Work history: does each date belong to the correct employer?
- Education: does the form distinguish completed from in-progress study?
- Links: do they open your intended profile or portfolio?
- Attachment: is this the version prepared for this role?
Save corrections, then check what stayed saved.
A field that looks filled may still need a selection from a suggestion list. A date may use a different format from the one you typed. Move to the next section, return, and check that your corrections survived before treating the step as complete.
If the site lets you enter information manually, use that path when importing fails. Keep the factual record beside you. Do not keep changing your experience to fit an importer that is producing the wrong result.
Check the application and the attachment separately.
The employer may receive both a resume file and structured answers from the form. Correcting one does not necessarily correct the other. Open the attachment preview if the site provides one, then review the application summary.
MyGreenhouse's candidate guidance explicitly asks applicants to review parsed information. It also notes that its most recent uploaded resume is used by default. That makes the final attachment check useful even if you applied to the same employer before.
Know when the problem needs support.
If the same field clears after saving, record the field label, the file type and the visible error. Contact the employer or platform through its published support route. Share only the details needed to diagnose the failure.
When using Litos, review the prepared application and resolve any missing answers before sending. If a portal needs verification or manual input, finish that step deliberately. A completed-looking form is not evidence that an employer received it.
Questions.
Does a parsing failure mean my application was rejected?
No. A parsing failure describes a problem extracting information. It is not itself a hiring decision. Check the application status and the employer's confirmation separately.
Should I upload a PDF or a Word document?
Follow the employer's instructions and accepted file types. Use a text-based export, check the uploaded file, and review the imported fields regardless of the format.
Why are my dates assigned to the wrong jobs?
The importer may have misread the document's order or structure. Use a simpler layout and verify each employer, title and date as a group. Correct the fields manually when the portal allows it.
Does fixing the form update my attached resume?
Do not assume so. Treat the attachment and the form as separate outputs and review both before sending.
