Compensation Range:

$19.04 - $26.63

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Provides administrative and program coordination support for the Lessons in Lactation Advanced Curriculum (LILAC) Fellowship, with primary responsibility for supporting the Spanish-language cohort. Works closely with fellowship leadership, faculty, mentors, fellows, and other program stakeholders to support the effective administration and ongoing operation of the program.

ESSENTIAL FUNCTIONS

Perform Secretarial duties requiring advanced skills.

Coordinate day-to-day administrative operations of the LILAC Fellowship, including fellow, faculty, mentor, and module author support. Maintain program schedules, timelines, records, contracts, agreements, and other required documentation. Provide administrative support for educational technology, accreditation, continuing education, and program compliance activities. Provide professional, bilingual administrative communication and support in English and Spanish to fellows, faculty, mentors, and program leadership. Coordinate fellowship meetings, workshops, graduation, and other program events and activities.

Finance Support

Support financial and budget administration, including tracking expenses, tuition, scholarships, stipends, and payments. Possess Knowledge of University Forms and Procedures

Completes requests for payment, travel and conference, 312-requisitions. Coordinate equipment purchases and maintain contracts and equipment. Maintain and monitors SAS/SPSS license for division, by accurately submitting correct account numbers to be charged and making sure the licenses do not expire. Prior to circulation, review all forms for completeness, accuracy, and appropriateness. Coordinate and track signature process for non-personnel costs. Order research supplies, reconcile packing slips, and distribute/store purchased items, keeping office supplies organized and accessible. Initiate all procurement orders Respond to requests regarding procurement process and payment status. Other duties as assigned

MINIMUM EDUCATION & EXPERIENCE

High School diploma or equivalent and 2 years of relevant experience required Associate's degree preferred Or equivalent combination of education and experience KNOWLEDGE, SKILLS AND ABILITIES

Strong organizational, time-management, and attention-to-detail skills with the ability to manage multiple priorities and deadlines strongly preferred. Excellent communication skills, with fluency in both English and Spanish strongly preferred. Ability to work independently, exercise sound judgment, and effectively manage administrative responsibilities strongly preferred. Proficiency with Microsoft Office, web-based technology, and the ability to learn and use educational and administrative systems strongly preferred. Ability to establish and maintain effective working relationships with faculty, staff, learners, and other stakeholders strongly preferred. Demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Ability to act as a resource to less experienced staff; strongly preferred.
