We are hiring a HubSpot Administrator to take ownership of the company's newly launched HubSpot CRM - completing the implementation, configuring and maintaining the portal, and making sure sales, operations, and support teams can rely on the data inside it. Because customer support ticket volume is currently light, this person will also run the HubSpot Service Hub support queue directly, handling order status, RMA, and account questions. Most of the role is HubSpot administration and implementation; support is a smaller, ongoing responsibility that keeps the admin close to how the system is actually used every day.
Duties and Responsibilities
WHAT YOU'LL OWN - HUBSPOT ADMINISTRATION & IMPLEMENTATION HubSpot implementation - drive the remaining rollout of HubSpot across Sales, Service, and Operations - gathering requirements, configuring each hub, and managing the plan through go-live and adoption. Portal administration - own users, teams, permissions, and security settings; keep the portal organized, documented, and audit-ready. Data model and pipelines - design and maintain objects, properties, deal and ticket pipelines, and stages that reflect how DigiStor sells to and supports OEM, government/defense, and enterprise customers. Data migration and quality - migrate and clean legacy data from spreadsheets and manual tracking; set up deduplication, validation, and import standards so records stay accurate. Workflows and automation - build workflows, sequences, lead and ticket routing, and SLA rules that remove manual work and keep handoffs from slipping. Reporting and dashboards - build dashboards for leadership on pipeline, bookings, and support performance, and make sure the numbers behind them are trustworthy. Integrations - manage connections between HubSpot and other business systems (e.g., ERP, email, calendar), working with vendors or IT as needed. Training and adoption - train users, write clear documentation, and be the go-to person for HubSpot questions across the company.
WHAT YOU'LL OWN - CUSTOMER SUPPORT Ticket queue management - triage, respond to, and resolve inbound tickets in HubSpot Service Hub - order status inquiries, RMA/return requests, shipping and account questions - routing anything outside scope to sales, operations, or technical support. SLA performance and ticket hygiene - meet first-response and resolution-time targets; log every interaction and keep ticket properties, status, and tags current so support reporting rolls up cleanly. Knowledge base upkeep - maintain snippets, templates, and help content in HubSpot so customer answers stay accurate and consistent. Escalations - partner with sales/OEM contacts and operations to resolve customer escalations quickly. Requirements
HubSpot administration experience - hands-on experience administering HubSpot (or a comparable CRM such as Salesforce), ideally including at least one implementation or migration. Systems thinking - able to translate business processes into pipelines, properties, workflows, and reports - and to push back when a request would compromise data quality. Data skills - comfortable with imports, data cleanup, Excel/Google Sheets, and building reports and dashboards. Customer service experience - prior experience handling support tickets or customer inquiries; HubSpot Service Hub, Zendesk, Freshdesk, or similar is a plus. Clear communication - explains the system plainly to non-technical users; writes clean, professional, empathetic responses to customers, by phone and in writing. Attention to detail and organization - accurate, consistent data entry; manages implementation work and open tickets side by side without things falling through the cracks. Team fit - thrives in a lean, ~36-person company; comfortable wearing multiple hats and being both the system owner and a first point of contact for customers. Benefits
