Executive Assistant

About the job
We are seeking a highly organised, Arabic-speaking Executive Assistant to support the CEO and Managing Partner across our Asset Management, Owners Association, Property Management and Handover Services divisions. This is not a purely administrative role - you will be the CEO’s right hand: representing the office with RERA and other government authorities, drafting formal correspondence in Arabic and English, managing a demanding calendar, and following up internally until matters are closed. You will sit in on high-profile client meetings, capture accurate minutes, and make sure every action point lands with the right owner. You are discreet, proactive, and comfortable asking the right questions to get things done properly the first time.
Act as the primary point of contact between the CEO & Managing Partner and RERA, DLD and other government authorities - communicating in Arabic, emails, letter or any other required correspondance. Represent the CEO & Managing Partner on operational and regulatory requirements, ensuring requests are actioned in line with their direction and escalated where decisions are needed. Draft, translate and proofread formal letters, notices and correspondence in both Arabic and English to authorities, owners, developers, OA boards and clients. Manage the CEO & Managing Partner’s calendar end-to-end - scheduling and booking meetings, prioritising conflicting requests, and coordinating with internal teams and external stakeholders. Manage the executive inbox: screen, prioritise and respond to emails on the CEO’s behalf, and flag matters requiring personal attention. Follow up internally with the Asset Management, OA, Property Management and Handover teams on open matters, deadlines and deliverables - tracking every item through to closure. Attend meetings with the CEO & Managing Partner, including with high-value and VIP clients, owners and partners; prepare briefing packs and background notes in advance. Record accurate minutes of meetings, circulate them promptly, and track action items and owners to completion. Plan and coordinate corporate gifting for VIP clients, partners and authorities - sourcing, personalisation, budgeting and timing around key occasions (Ramadan, Eid, UAE National Day, year-end). Prepare presentations, reports and documents for internal reviews, client meetings and OA / board meetings. Ask the right clarifying questions on incoming requests to ensure the CEO receives complete information and that nothing is actioned on assumptions. Maintain organised filing of correspondence, contracts, authority approvals and meeting records, handling confidential information with full discretion. Requirements
Bachelor’s degree or higher.
Minimum 5 years of total experience, including 3+ years supporting a CEO or senior executive.
Fluent in Arabic and English, both spoken and written (mandatory).
Experience in executive assistance, calendar management, correspondence, and confidential matters.
UAE government liaison experience with RERA/DLD is preferred.
UAE real estate experience in Asset Management, OA, Property Management, or Handover is preferred.
Working knowledge of RERA/DLD procedures and UAE real estate regulations is an advantage.
Excellent organisational, communication, multitasking, and follow-up skills.
Professional, proactive, detail-oriented, and discreet.
Benefits
Clear opportunities for career growth and professional development.
Dynamic, collaborative environment focused on Dubai’s real estate market.
Fast-paced, innovation-led workplace with proprietary technology, a 40+ person in-house marketing team, and access to the Forbes Global Properties network.
